Terms and Conditions

These terms and conditions shall apply to all transactions conducted in association with the booking and rental of Elderflower Fields Festival accommodations. Please read them carefully before completing your order and print a copy for future reference.

By renting Elderflower Fields Festival accommodation you are agreeing to and will be bound by these terms and conditions.

Definitions

Elderflower Fields is the company, address Elderflower Fields, Pippingford Estate, Pippingford Manor, Pippingford Park, Nutley, East Sussex, TN22 3HW, U.K

Elderflower Fields accommodation means any structure or unit available for rental from the Elderflower Fields page on the website www.elderflowerfields.co.uk

Equipment relates to any physical item either provided as standard or purchased with the Elderflower Fields accommodation including flooring, mat, mirror, table, bed, lighting, mattresses, linen and towels.

Please note that in these terms and conditions “you” and “your” are references to any person purchasing Elderflower Fields accommodation and or equipment and “we”, “our”, “us” and “ours” are references to Elderflower Fields and “the site” and “the event” refers to Elderflower Fields..

Elderflower Fields Staff refers to those working under Elderflower Fields, in the Loveabell tent area of the site.

Booking, Payment and Confirmation

All bookings for Elderflower Fields accommodation and equipment will be handled by Loveabell Ltd as the only authorised agent for these bookings. All bookings must be made via the Loveabell Ltd. online booking form using reference: ELDERFLOWER. Payment in full to be made on receipt of booking confirmation email. Bookings are only confirmed once full payment has been received by Loveabell Ltd.  A damage deposit for £50 per tent must be paid before the event. This will be returned in full 14 days after the check out date.

N.B. Festival entry tickets must be booked & paid for separately via www.elderflowerfields.co.uk

Responsibilities & Damages

You are responsible for the maintenance and safe custody of your Elderflower Fields accommodation and equipment for the duration of the rental period and until checking out on the day of departure.

You will not use cooking or other gas appliances of any kind inside your accommodation. You will also not use naked flames or any other heating equipment inside your accommodation.

Neither Loveabell Ltd. or the event will be held responsible for any loss or damages incurred by the use or misuse of the Elderflower Fields accommodation you have rented, howsoever caused.

Neither Loveabell Ltd. or the event will be held responsible in the case of theft of personal items, injury or death.

As you will be fully liable for any damage caused to the Elderflower Fields accommodation and or equipment provided with your accommodation you have hired you may wish to purchase your own insurance to cover this.

Please note that Loveabell Ltd. is not responsible for any of the site facilities provided by Elderflower Fields Festival.

Arrivals, Departure and Access

Your Elderflower Fields accommodation will be erected/prepared ready for your arrival.

You will be able to access your Elderflower Fields accommodation from the official opening time of the event. Upon arrival you will be asked to sign for the receipt of your Elderflower Fields accommodation and equipment.

It is your responsibility to check that the accommodation and equipment provided corresponds to your booking and to notify a member of the Loveabell crew if anything is missing/faulty/incorrect at the time of check in. Failure to do so will render you responsible for the total payment of hire.

You must vacate your accommodation by the official end time of the event. Failure to check out by this time may result in an extra charge.

You will be required to notify Loveabell crew when checking out of your accommodation and a member of the crew will check your accommodation and any damaged, missing or broken items will be identified. You agree to pay, in full, any extra costs to cover replacement or repair of any item/s which is/are damaged, stolen or broken.

Cancellation

Notice of cancellation of the booking by you must be provided to the Company to be received not less than 28 days prior to the date event.

Cancellation of less than 28 days prior to your arrival will result in 100% of the hire charge being forfeited. You may wish to obtain travel insurance to cover this.

Force Majeure

Every effort will be made by Loveabell and Elderflower Fields to carry out any order. This is subject to variation or cancellation upon the following; act of god, war, strikes, riots, lockouts or any other disturbances such as fire, flood, storm, gale, and tempest restrictions on the use of transport, fuel or power or any other cause beyond the control of the owner.

All tent hire payments are non-refundable and non-replaceable.  We cannot offer refunds on the basis of inclement weather.

In the event of cancellation due to unforeseen circumstances or events beyond the control of the organisers, a refund for the tent hire will not be available.

In the event of a national emergency (as defined by the MOD), the festival will be cancelled and no refund will be available.
